Data Storage
Proclaim’s powerful database stores all your contacts for each claim – Clients, Experts, Solicitors, Counsel, Witnesses, etc – and records all correspondence, be it phone calls, letters, faxes or e-mails. Incoming mail, faxes and even photographic evidence can be scanned into Proclaim and logged against the relevant contact to provide a complete onscreen case summary.
Expert Guidance
Proclaim’s in-built ‘workflow’ can be tailored to ensure that cases are dealt with consistently and in keeping with your firm’s standards. This enables claims handlers to process more cases and greatly reduces operational errors. For example, the system provides onscreen prompts to ensure that the Money Laundering regulations are adhered to when adding new correspondents. In addition, Proclaim calculates the Fixed Costs in RTA cases and contains reporting functions to inform you which cases are not profitable
Document Creation & Management
Fast and effortless document and form production means that at the start of a case, it’s possible to generate all relevant documentation automatically at the touch of a button. For example, Particulars of Claim for a huge range of allegations are included as standard. In addition, appropriate items are merged into letters of advice on Part 36 offers/payments.
Case Importation – referrer integration
New or amended case information received electronically from clients, be it one case or 1,000, can be automatically imported into Proclaim – in the right format and attached to the right cases – at the click of a button. Compared to a case handler manually entering details of hundreds of cases, this saves days of time and effort.
Online Case Tracking
Proclaim can automatically publish selected matter data to a secure web site – enabling your practice to make information available to private clients, referral intermediaries and insurance companies around the clock, without picking up the phone, or putting pen to paper.
Financial Analysis
Proclaim records time on every action administered, storing a complete record of costs for each case. Disbursements are also calculated for every claim to ensure an accurate breakdown of all transactions – Hospital Records, Court Fees, GP notes, Source Agents, etc. A Special Damages Summary calculates the total costs associated with the client as a direct result of the claim.
Text Messaging (SMS)
SMS (text) messaging direct to clients’ mobile phones is available from the desktop at the click of a button, keeping them up to date with developments and reminding them of important appointments, e.g. doctor’s examination.
Management Reports
A range of standard reports is included, with the option to define your own, based upon any items of data within the database. For example, you could run a report on all cases referred by a particular broker in a single month, listed by overall value or geographical region.
Diary
A full diary facility is linked with all case activities, with automated reminders to ensure important events are not overlooked. Provisions are made for all limitation dates to ensure you are always aware of the timescale attached for issuing proceedings on each client’s behalf.
